Before you make a decision
A monthly seat price is only one part of a software decision. A tool also changes how your team works, where business data lives and how much effort a future switch will take. Use this buying worksheet alongside the publisher’s introductory video.
Price the team you expect to have
Count both current users and likely additions. Ask whether occasional users, administrators or external collaborators need paid seats. Check the contract for minimum commitments, billing frequency and how additional seats are charged. Compare the same team size and features across vendors.
Find the limits behind the plan name
Storage, automation runs, API requests and reporting can have separate limits. List the workflows you actually need and identify the tier that supports them. A free trial is a chance to test a real task with realistic sample data, rather than a guided demo that skips your difficult cases.
Make an exit plan before onboarding
Confirm export formats, cancellation steps, renewal dates and what happens to your data after cancellation. Decide which integrations are essential and who will maintain them. A successful purchase includes implementation and staff training, not just access to a login screen.
Your comparison worksheet
Bring these questions to the conversation
| Compare | Ask |
|---|---|
| Seats | Who needs a paid licence? |
| Usage | Which limits trigger extra fees? |
| Integrations | Are connectors included in this tier? |
| Exit | Can we export usable data? |
Your quick checklist
- Count current and expected paid users.
- Check usage limits and required plan features.
- Test a real workflow during the trial.
